How Fine Global HR collects, uses, stores, and protects personal information.

1. Introduction

Fine Global HR Services Pvt. Ltd. (“we,” “our,” or “us”) respects your privacy and is committed to protecting the personal data of our candidates, clients, and website visitors. This Privacy Policy explains how we collect, use, store, and share your personal information.

2. Information We Collect

We collect the following types of information:

  • Account Information: Name, email address, phone number, password.
  • Candidate Profiles: Resume/CV, work experience, education, skills, certifications, passport details, photo, and other documents required for the recruitment process.
  • Client Information: Company name, contact person, industry, country, business registration details.
  • Usage Data: IP address, browser type, device information, pages visited, and interaction data collected through cookies and analytics tools.
  • Communication Data: Messages exchanged through the platform's chat system, emails, and notifications.
  • Recruiter mobile call logs: When a staff recruiter installs the Fine Global Recruiter Android app and explicitly enables call tracking, the app reads that phone's call log (numbers, timestamps, duration, and call type) so calls can be matched to talent and uploaded to ERP. The app does not collect SMS content.
  • Recruiter call recordings: On MDM / sideloaded devices, after the recruiter sets Fine Global Recruiter as the default Phone app and consents to recording, the app may store call audio and attach it to that call in ERP. Two-sided GSM capture is OEM-dependent and is not guaranteed on every Android phone. The emulator cannot prove two-sided audio. Recording can be turned off in Settings.

2a. Recruiter companion app

The Fine Global Recruiter Android app is an internal staff tool. Call-log access is requested only after onboarding and explicit consent. While tracking is enabled, a permanent notification shows that the foreground service is running. Recruiters can pause or stop tracking in the app; signing out stops the service and clears the local queue and session token.

  • What is processed: phone numbers, call direction, duration, timestamps, optional talent links, and — only after recording consent — call audio stored against that ERP call.
  • Background processing: an Android foreground service observes new call-log rows and retries upload. Capture is not guaranteed on every OEM battery setting.
  • Retention: uploaded call events follow the same ERP staff-call retention as web-logged calls. Local queued events are removed after a successful upload or when the recruiter signs out.
  • Opt-out: decline the permission, pause tracking, or uninstall the app. Existing ERP records remain until deleted under the rights in section 6.

3. How We Use Your Information

  • To process job applications and facilitate the recruitment process.
  • To match candidates with suitable positions based on qualifications and experience.
  • To communicate with you about interviews, offers, and mobilization updates.
  • To manage visa processing, document verification, and deployment logistics.
  • To improve our services through analytics and performance monitoring.
  • To comply with legal obligations and regulatory requirements.
  • To send relevant notifications, alerts, and updates.

4. Data Sharing

We may share your personal data with:

  • Employers/Clients: Candidate profiles (with consent) are shared with prospective employers for evaluation.
  • Government Authorities: As required for visa processing, emigration clearance, and regulatory compliance.
  • Service Providers: Third-party services for email delivery, SMS, cloud hosting, and analytics, all bound by data protection agreements.

We never sell your personal data to third parties for marketing purposes.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Candidate profiles are retained for up to 5 years after the last activity unless you request deletion earlier. Client data is retained for the duration of the business relationship plus any legally required retention period.

6. Your Rights

You have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request deletion of your data (subject to legal obligations).
  • Withdraw consent for data processing at any time.
  • Request a copy of your data in a portable format.
  • Object to or restrict certain data processing activities.

7. Cookies

We use cookies and similar technologies to enhance your experience, remember your preferences, and analyze usage patterns. You can manage cookie preferences through your browser settings. Essential cookies required for the platform to function cannot be disabled.

8. Security

We implement industry-standard security measures including encryption (TLS/SSL), access controls, regular security audits, and secure data storage to protect your personal information. However, no method of electronic transmission or storage is 100% secure.

9. International Data Transfers

As an international recruitment agency, your data may be transferred to countries outside India as part of the recruitment and deployment process. We ensure that appropriate safeguards are in place for such transfers in compliance with applicable data protection laws.
